The meeting was designed to discuss topics of interest to the attendees. Therefore, while we had an agenda we discussed other items as well.

Room re-arrangement. Judgment was that, on the whole, we all liked the looks of what has been done so far. However,

  • Placement of the card catalog is bad – our patrons can’t use it and it’s too close to the desk for comfort when we use it. Suggestion: swap the cabinet with the card catalog. Pulling the desk out from the wall a bit more would also be helpful
  • ACTION ITEM - Linda will take that to Paula, et all.

  • Other ideas for arrangements:
    • Kid’s chairs from IKEA for the children’s corner,
    • A RED couch,
    • Another table for patrons to use.

  • Making the space both more accessible AND more useful:
    • Bigger sign on the door that says specifically “Art Library Public Welcome!”
    • Poster displays – could we have them hanging or placed in the area? Use both past and FUTURE TAM exhibit posters and we could continue to display some of the materials that refer to these displays
    • We want Leroy! Anytime
    • Displays and cases EASILY seen from the stairs
    • How ‘bout a could of study desk for folks who need to work but don’t need a table
  • ACTION ITEM - Rich and Linda committed to including some or all of these suggestions into the report the Ad Hoc Committee will be making in January

Report on weeding:

  • Rich reported that the Reference Books that were weeded are all boxed up and awaiting The Sale (more on that later). Sarah Cross reported that she’s been removing the cards for those books from the card catalog.
  • The Ad Hoc Committee has started weeding the Dewey collection. We pull the suggested books, put them on a cart that is placed in Sharon’s old office, staff has a couple of weeks to disagree and then we start to pack the books and remove the cards from the catalog.

This all led to a discussion on donations and our collection development policy.

ACTION ITEM -There will be follow-up on the policy issue by Ad Hoc Committee and Paula

Donations

Most important – people get thanked.

  • I (Linda) believe we all agreed (somewhat reluctantly) that we’d try to get the Donation Form (filed in the bottom drawer of the Reference Desk black cabinet) filled in with whatever the donor is willing to include,
  • We’ll send the form to Development who would thank donor AND send us a copy for our files.

ACTION ITEM – Linda will convey the copy request to DEVO

Art Files and the Blue Cards

· Important to note: The NEW files are in white Tyvek folders in the first beige file cabinet in the back room. We’re doing the ‘As’ and ‘Bs’ right now so you may find yourself frustrated if you’re looking for an artist.

· The more people working on this project, the better. We have six folks working and two people volunteered at the meeting: Sarah Cross and Tom Wing. We’ll be training them soon so they can get started. Thanks to everyone who’s working on this project!

· We’ll talk about the Blue Cards (Artist Name Authority Cards) at our next meeting as well.

Computer-assisted reference, using the Tacoma Public Library card and databases, and our frustrations with the Reference Desk computer.

· We’ll discuss these with the volunteers at the meeting next also.

Educational material:

It’s still kind of complicated but Linda Gaines told us:

· The list of approved teachers is available by signing onto the TAM network and clicking the EDUC icon on the desk top

· You may check out materials to a teacher who has JUST signed up if you see identification

· You need to enter the information (esp. the call number) of the materials checked out into the record in the red-backed folder.

ACTION ITEM - SOON Carrie will have a much improved system for this.

Past T.A.M. Exhibits

Volunteers: We recently had a question about a piece that might have been in a Northwest Biennial exhibit. Our Archives Files (found in the drawers of the desk in the work room) include information from most of our exhibitions since 1990 and MAY include a checklist. To see if we have a checklist and/or other information about a particular show, go directly to the files if you know the date. If you don’t know the date go to the document Exhibits 1980-2005. To access this document:

Connect to the TAM network

Double click on the WORD icon

Under FILE click on OPEN

Choose MY DOCUMENTS

Double click on EXHIBITS 1980-2005

The documents are arranged by year and by title of the exhibition. Use the FIND command under EDIT and search for words in the title of the show or dates. Once you know the date, go to the files – they’re arranged chronologically within each year. The contents of each file are unpredictable but you might find what you need.

Chihuly Artist File Materials

Volunteers: Paula McArdle is using ALL of the Chihuly Artist files, subject files and gallery catalogs for a project she is doing. She has also checked out three of our Chihuly books. These will be in her office until after the new year. We still have LOTS of material in our book collection.

FW: Greeter Orientation Reschedule at Tacoma Art Museum

I am sorry to do this to you, but there is a scheduling conflict that has developed for the Greeter orientation that was scheduled on Saturday, November 26th at 11am. This time has been CANCELLED.

We have another general Greeter orientation scheduled for Saturday, December 10th at 11 am for those who need an introduction or just want to get the newest information. If you are available, meet Kristie Worthey at the Admissions Desk.

Test the VCR set-up

With the re-arrangement of the room we had a little problem with the VCR set-up.  It’s all ready to go and we have the instructions for using.  Please ‘test drive’ it on your next shift so you’re comfortable helping people use the equipment.

More openings

I have some more open shifts available in November.

In addition to the shifts still open below, I also need every Friday morning, Friday afternoon on the 25th, and Saturday afternoon on the 26th.

Tuesday the 8th – both shifts available

At our meeting in October the Ad Hoc committee presented the following list of projects and tasks that need to be accomplished in the ARC.  Everyone was asked to indicate which project and task within a project you would be interested in performing (if you had adequate training).  We didn't get responses from everyone there nor, of course, from those unable to attend.  So, please take a look at the list and let us know your interests, even if you haven’t been through your general orientation yet.  Respond to Linda (lindamartinez@earthlink.net) by November 9.
