ARC Meeting Notes

Hello ARC volunteers!

As promised, here are the notes from today’s ARC meeting. Please read through carefully as there’s a little something for everyone.

First, and most important, if you are helping with the Artist Files, please defer to Ellen Ito [eito@tacomaartmuseum.org] and myself if you are unsure about whether or not to keep an item. If there is a unanimous decision to throw something out, by all means, throw it in the trash. If there is even one objection, though, please send it along to Ellen and me. We would love to be included in the decision and really do not mind answering emails [or even phone calls, in my case]. Of everything that was discussed today, this was the most urgent piece of information I gained. Ellen, Josh, Kara, and I have agreed that if there isn’t a unanimous decision about a piece of information, better to be safe than sorry!

Which leads to my next piece of information, at the end of August Kara Bonavia [KBonavia@TacomaArtMuseum.org] will be taking over all Volunteer Coordinator duties! As some of you know, I volunteered to take over Volunteer Coordinator duties during the interim only. My husband and I will be PCS-ing [Permanent Change of Station, or forcibly moved] to Little Rock at the beginning of September [more on that at a later date].

A few volunteers asked if the ARC will be receiving new equipment. Some of you may have noticed that the ARC attendant computer is quite slow. Good news, you will be receiving new technology! Unfortunately, we do not have an exact date, but please note that Matt Daugherty, our IT and Facilities Manager, is on the job. You will not have to suffer for much longer.

If you find yourself scratching your head for something to do, you are more than welcome to research books on Western Art that you believe would be helpful in light of the expansion the museum will be undertaking within the next year. I know this poses the question of where to put the new materials… No worries. Josh and the rest of the Education Team are working hard on dreaming up possibilities for the ARC.

A lovely ARC volunteer approached me pre-meeting wondering what to do with the exhibition checklists after an exhibition has moved on. Please do not throw these checklists away. Curatorial has asked that we retain them in our archives for not only their use, but use by other institutions as well! Thank you!

The following is an updated list of the projects currently be worked on by ARC volunteers. Feel free to contact them if you would like more information on their projects. If you notice a project is not listed that you think would benefit the ARC, do not hesitate to email me. We can discuss whether or not the project is pertinent and then figure out a way to best support you as you undertake the project.

And finally, we have a very exciting project taking place in and pertaining to the ARC! Jennifer Peters and Michelle Reynolds, graduate students and former Visitor Services team members, along with Ellen Ito’s direction, are in the midst of creating a Viewshare. Viewshare is, and I quote, “a free platform for generating and customizing views that allow users to experience your digital collections.” In a nutshell, this project utilizes our Artist Files and Archives, digitizing them and complimenting them with the help of ephemera and other items that enhance our collection. Making them digital means our resources are no longer available locally, but on a global scale. If you would like to learn more, you are welcome to reply to this email. I will compile your questions and direct them to Jennifer, Michelle, and Ellen. Around the beginning of August, they want to get together with ARC volunteers to teach them how to use Viewshare. There will also, possibly, be an opportunity to continue their project after they leave, if you are interested.

Please let me know if you have any questions or concerns regarding any information listed in this email. Have a great weekend!
