Notes from the Volunteer Meeting

March 14, 2006

 

Attending: Linda Gaines, Laura Hurtado-Webb, Elodie Vandevert, Rich Miller and Nancy Waltman

 

Parking: All must display a current parking permit to qualify for the special rate. Pick up your March (blue) permit at the security offices. The permits will expire monthly.

 

Ipods: If you have not read up on the audio download for The Great American Thing exhibit, please do. Info available by each public computer. If you have questions, e-mail Linda Martinez or me. Also, please write up your experience in the journal should you be so lucky to get a download customer. We would like to know how it went and how it was received by the user.

 

Tidy the office: All ARC volunteers are responsible for putting the room in good order. There are table wiping cloths in the back office or paper towels and soap in the Open Art Studio. Please see that the table surfaces are clean. Do not spray directly on any keyboard or electronic appliance. The recycling box in the back office is for good paper and cardboard only, no plastic, foil, wet or dirty paper.

 

New-old copier: We have acquired a refurbished copier. It is in the back office. It is only set up for letter size, black copies. It is not networked with any computer. You may use it if you have trouble copying on the little gray copier by the desk.

 

On-going: The cataloging: Linda and Tom continue on. Again, books on the shelf with little yellow sticky tags are being processed. The weeding of books for the book sale is pretty much complete.

Artist Files:  Good progress. We are in the "H" section. The Tyvek EPS files are complete in the drawers. Remember they include all three old filing systems and the G/M Green catalog files. If you do not have old AFs to work on in your box, look on the smaller green filing cabinet, directly across from the back office door. Any bundled files with printed labels are ready to be worked on.

Teacher Resources:  Please use the old hardcopy system of registration and allocation of the Teacher Resources until the computer system is refined. Remember to check ID of a registering teacher and only three items may be reserved or borrowed at any one time

 

Tasks that go begging: We have a number of regular ARC jobs that need assignment to an individual volunteer.

These include catalog/ magazine processing, maintenance of the children' book collection, archival filing, current filing of artist file materials and cleaning up the staff loans records. Linda could also use another helper with copying book publ. info.

 

Goodbye: Sadly, a number of dedicated volunteers have had to move on to other responsibilities. If you know of anyone who might be willing to learn the ropes and put in at least four hours a month in ARC, please refer them to Jana Wennstrom ext. 3030.

ARC Meeting

A reminder that the next meeting of ARC volunteers will be held next Tuesday, March 14 at 10:00 am in the library.  If you have not attended a meeting in the past two months, please do make an effort to attend.  We will continue to refresh our skills in dealing with the Educator Resources, discuss progress on the on-going projects and discuss projects and responsibilities that need volunteer effort.  Please join us.

ARC and the Night Tacoma Danced

Hello, I wanted to let you all know that the ARC will be used as the “break room” for museum volunteers and TAMAC volunteers during this Saturday’s gala event – Night Tacoma Danced. There will be a dedicated volunteer assigned to the ARC throughout the evening to ensure that the computers and books are protected. The stacks will be closed off and the rug protected from food and drink. On Monday, March 6th the carpets will be cleaned along with the entire museum post event clean-up.  Please do not hesitate to let me or Jana know if you have any questions or concerns.
